Most often than not, there exists a gap between the current status or condition and the condition that is determined by wants and desires. It's it important for organizations to identify and the find out the gap between the desired and the existing conditions and this process of finding out is often termed as the process of needs assessment. For organizations and institutions, this assessment of the needs of the stakeholders is important for the identification of the needs and for the formulation of strategies and programs to fulfill the needs gap. Hence, the process of needs assessment or identification is also a part of the planning processes of organizations and is regularly used by organizations to ensure the improvement of the conditions of the individuals, groups and its stakeholders (Elliman & Taylor, 2008).

Identifications of needs help organizations and especially business organizations to form programs that help formulate their facility projects for its stakeholders. The most important stakeholders for business organizations for whom facility projects are formulated are the employees or the staff and the community that the organizations work in. The importance of such programs lies in the fact that the efficient conduct of the programs, among other factors, helps in the smooth and unhindered running of business. The process of identification of needs of these stakeholders can be made close engagement with the stakeholders and through the process of sharing of views and ideas about various needs and facility requirements of the stakeholders. This sharing is drawn from the relationship with the business organizations. Stakeholder analysis often helps to identify the important stakeholders.

Staff & the Facility Needs

As discussed earlier, facility projects are important for business organizations, or for that matter, any organization, for smooth functioning and getting maximum output from the stakeholders through their complete co-operation. Efficient facility projects that help fulfill most of the needs and demands identified through the needs assessment process, in turn, create a sense of attachment and satisfaction among the stakeholders. While satisfied staff can help enhance productivity and output, the content community can help in the development of the business in the region and enhance the image and reputation of the company.

The assessment of the needs of stakeholders is, therefore, important for organizations. For the staff and the employees are internal stakeholders of an organization, one of the most popular ways for needs assessment is a complete survey among the employees were the employees are asked about their needs and desires which the company should include in facility projects. Such information gathered is analyzed to bring out the needs among the majority of the employees. Personal interactions and asking questions about needs and desires to the employees can also be done although that takes both time and energy but it is very accurate and good method that can be used for the assessment of needs of the staff (Mbowe, Zlotnikova, Msanjila, & Oreku, 2014). Other methods include gathering of information through group meetings, discussions between managers and focus groups of 7 to 8 employees.

Needs of the community

The people who reside in or those people not in direct contact with the company but stay the area where an organization has its operations and are thus impacted by the operations are referred as the community stakeholders. Assessment of the needs of the community is best done through discussion with focus groups or representatives from among the community for getting information about the needs and desires of the community that can help the organization to draw up a comprehensive strategy for the formulation of facility projects. Community surveys can also be conducted for this purpose even though they require a substantial investment of resources by the organization (Elliman & Taylor, 2008). It is however advised that as many of the members of the community be included in the assessment process as possible.

How you determine which needs to address

The severity and the acuteness of the needs form the basis for the identification of the needs to be addressed first. This identification can be done in two ways - according to the graveness of need compared to other needs and the other can be based on what the majority of the stakeholders want (Mbowe, Zlotnikova, Msanjila, & Oreku, 2014). The importance of needs for the staff and formulation of facility projects is generally related to their needs and aspirations from the company while they are at work. Such needs would generally relate to better work environments. For communities, the needs are judged primarily on the basis of the number of people impacted or wanting a particular facility. However, priority has to be given to those needs and wants that are mandated by law or various other regulations such as those for the environment. in addition, the needs should also be prioritized on the basis of the expertise and the resources such as finance and manpower that are available with the organization.
