¶ … Company Holiday Function by the Planning Committee This paper is a developed plan for a company holiday function. The writer is in charge of the planning committee as well as the catering plans. The writer uses a report style to detail for the director what will be done and when to carry off the event. There were two sources used to complete this paper. As you all know the holiday party this year is slated for December 10, 2002.

The company has about 400 employees therefore it is important that we begin the planning process as soon as possible. The planning committee has been formed and will begin to plan the party. The committee will meet once a month during lunch hour for the purpose of discussing progress and needs.

Each person on the committee will be in charged with an area to handle for the party's success The areas that will be distributed will be the venue committee, the entertainment committee, decorating committee, the food committee and the clean up committee. The planning committee members will each take on one of these areas and recruit assistance to complete the tasks. Venue chairman: The venue chairperson will be responsible for securing the place that the event will be held.

It must be able to hold approximately 800 attendees and be able to provide space for whatever entertainment will be provided. There may be a live band or there may be a DJ but the venue must be able to accommodate the need. There must also be a kitchen available for the caterer to use to set up and provide the food. The entertainment chairperson is going to locate the entertainment for the party.

The entertainment will have to be within the budget that has been allocated for it and it must be middle of the road bearing in mind that the majority of employees are between the ages of 30-50 years old. The entertainment committee will report to the venue committee by August as to whether or not it will hire a Disk Jockey or a live band for the entertainment. The clean up committee will provide a schedule of who is going to stay after the party and clean it up.

They will also be responsible for bringing the bags and other cleaning tools that they will need to complete the task (Dusen, 2002). The catering is something that will be handled by the food committee. The food committee knows that in years past there has been a problem getting a good caterer to handle the party. It is the opinion of the planning committee that the problem lies in the fact that the caterers are not being contacted until late in the season.

The month of December is filled with holiday events and waiting until the last minute prevents us from obtaining the best food (Dusen, 2002). This year we have decided that the catering will be secured no later than September 15. Each month several caterers will be contacted and allowed to prepare samples for the food committee to taste and evaluate. The theme for the party is going to be summer breezes and Hawaiian foods.

The caterers will be allowed to bring us a miniature sample of what they will provide if we hire them to provide food for the event (Dusen, 2002). By September 15 we will choose the caterer and book them. The budget allows for about $24.00 to be spent feeding each party guest and the caterers being interviewed will be asked to provide samples that will fall within that price range. The planning committee was formed after we looked at the possibility of outsourcing the panning of the event.

There were several companies contacted who are in the business of planning and conducting events for businesses but the planning committee believes it will be best to allow employees to handle the tasks as they know their fellow employees and will be able to discuss their likes and dislikes when the need arises and not have to wait for special.
