In this case, the meeting will focus on the betterment of the gymnasium center, for more appealing design and structure. The members who had promised to deliver certain specific information will be required to hand in their reports for verification and analysis. The chairperson is responsible for deciding on the agenda of the meeting, with the secretary, ensuring the meeting is prepared in writing and a copy distributed to relevant destinations. The agenda is send to the people together with the notice before the scheduled meeting.

The agenda will be sent prior the meeting because those who are to attend the meeting will know what is expected of them. The meeting scheduled for 10th July will also be more fruitful because members will prepare well for their contributions and opinions. Those with questions and need clarification should prepare in advance to save on time during the meeting. Quality discussions are necessary, and the members are all expected to participate for fruitful conclusions to be reached. Issues in the previous gym will be ironed out.

All the issues that will be discussed in the meeting have to be within the agenda, which has already contained a majority of the fundamental factors of concern. SECTION TWO: GYMNASIUM LAYOUT AND STRUCTURING Entrance to the gymnasium The gym will have one main entrance and all those visiting the club will be forced to go via the entrance and also use the same entrance for exit. However, there is need for other exits, which will only be available in case of fire incidents.

The exits and entrance are to be marked well to avoid confusion and visitors to the gym should hardly access the emergency exits in normal circumstances. In the picture attached, there is only one entry, with no exit, and there is no sign of exits incase of fires, this has to be discussed and corrected. Front desks and offices The current location of the front desk and offices is convenient, as all visitors getting in will be attended to easily and promptly.

All inquiries and confirmations are to be done at the front desks, which coordinate with the offices to ensure everyone is satisfied and comfortable. The lobby area The lobby will in most cases be exclusively used for specific individuals, say members of the gymnasium. This entails the staff, members, students and many others, as long as they are recognized. The lobby will be the main area where people will meet, and exit into their locker areas.

In addition, the lobby will be used for posters, flyers and other specific displays, which are already approved by the offices responsible. Food Section The food section should observe high cleanliness, as unhygienic surroundings will discourage consumers. The foods and also any beverages provided in containers made of plastic will only be allowed in the lobby, and not any further than that. Only water that is well packed will get entry to the weight and games room.

Spillages will not be allowed, as they cause incurrence of more labor, and could also cause accidents if they are slippery. Glass cans and bottles are not allowed in the work out area, and all litter will be disposed in the right manner. The lobby and food area in the attached diagram are situated strategically, and are positioned.
