Project Team Reporting Structure:

On-site, David Dear reports directly to the Project Manager. Off-site, communication flows through Ellen Rigby. Rigby is responsible for bringing client request and expectations to Ed Jones for engineering approvals. Rigby is also responsible for interpreting any official or engineering constraints to the client group. Martin Mills is responsible for keeping the project on budget and must keep Ellen Rigby up-to-date on costs and expenditures. Mills and Sally Mays together address the project's fiscal reports. David Dear conveys any potential or real irregularities in planning or budget to Rigby, who then addresses the issues with the appropriate supervisor. Rigby and Jones are peers with regard to authority and responsibility, each in their respective areas.

Project Scope Statement:

Sundecks, Inc. has been awarded a contract with the city of Centerville to construct a traditional style concert pavilion in the central park. The project is funded through City of Centerville funds, which include flow-through federal dollars in the form of a block grant, and private donations. The Sundecks team will entertain bids from subcontractors, and is particularly looking for local firms that meet the federal contractor criteria for WOSB, MOSB, and Section 3. Two public meetings will be held in the fall of 2011 to solicit feedback from the community to be served via construction of the pavilion. Vendor instructions and all meetings affiliated with the project will be announced in the local newspaper and on the City's webpage. Construction is slated to begin on April 30, 2012 and complete on June 15, 2012 -- in time for the town's Fourth of July Celebration.

Project Deliverables:

1) All necessary and appropriate permits and inspections at each stage of planning and construction;

2) Completed pavilion structure: concrete foundation, weather-treated wood uprights, decks, deck railings, s and roof underlayment;

3) Cedar shingle roofing, appropriate underlayment, drip guards, gutters and drain spouts.

4) Wiring for outdoor lighting both on the structure and on the ground, lighting fixtures installed.

5) Underground French drain system for runoff from roof, decking, and surrounding paved areas.

6) Asphalt paving and crushed gravel walkway surrounds, fitted with drain covers connecting to French drain system.

7) Landscaping with small flowering shrubs and ground cover.

How will the project team communicate?

Ellen Rigby is the hub person for communication, but certainly communication can be direct between team members as appropriate. Company policy is that communications are copied to pertinent team members for enhanced communication and shared knowledge / information. Each member of the team carries a Smartphone with email capacity, document sharing capability, and text / voice mail messaging.

Where will project information be stored and how will it be accessed?

Most project information will be digitally stored. Project team members can access the information on Smartphones and on digital tablets or netbooks on-site. Blueprints will be retained in physical format and in digital storage. Physical (hard-copy) blueprints will be stored in the common office area, with a master copy secured in Jones' office.
