There has been steady development in technology over recent years and this does not look as if it is going to stop any time soon. Technology is still advancing and organizations are incorporating what technology has to offer. This helps them remain relevant and efficient in their activities. Project mangers have a major role to play when it comes to the life cycle of a project. Technology is seen to have an important role in streamlining the roles and speeding up the completion time of projects. How valuable technology in project management is totally dependent on how it is utilized. This can only happen if the appropriate tools are used in a proper way. This presentation is on how technology affects project management.
Technology can help in the improvement of communication; make assessments of risks as well as controlling and scheduling. Recently there has been a trend towards the use of business software and application of project management technology in particular moving towards cloud computing technologies. Applications that are cloud based are distinguishably advantageous over local hosting. These advantages include low costs and they are more adaptable (Emilijia, 2012).This implies that they are best suited when it comes to project management applications. Technology can be of great use when it comes to project management through various ways.
Redundancy and data backup
It is very essential for project managers to use data backup software. Without use of this technology then any progress that has been made on a project is extremely vulnerable to corruption or loss. This losses or corruption could make an organizations incur huge losses. Data that is stored on local servers or the cloud should have backup so that these risks can be mitigated (Emilijia, 2012).
Communication
Communications on projects has really changed over the years. There has been a shift from phone calls to web conferencing and Emails. In the past the key stakeholders would be expected to sign physically before a project is approved which would be passed between parties and return to the project manager to be updated. This took a lot of time, now the entire process of approval can be done through email. Project managers no longer need to keep the initial proposals that have been signed. All this documentation is under electronic storage and the copies of approval are also stored with other documents on the project on the server.
Project managers' act as lynchpins when it comes to the communication among team members, clients, management and vendors .The use of communication software that are well-designed is unavoidable for the achievement of an effective project management. There are tools such as Microsoft Lync that provide an intergraded solution that enables easy communication and transfer of information. Therefore, technology enables a project to be easily managed since communication is made easy among all the stakeholders involved in the project.
Diagramming
There are software available that can be used in the production of flowcharts and graphical representations of projects. Such technologies are very useful when it comes to timely completion of projects and improved workflow. This is easier compared to manually coming up with drawings and flowcharts of the projects (Emilijia, 2012).
