Manual Documentation System to a New Electronic Record System
Purpose of needs assessment in selecting a HER product for health care workplace
The success of the desired organizational change will depend largely on the needs assessment performed by the stakeholders of the organization. Needs assessment has been shown by researches to have numerous benefits for organizations that are planning to implement new organizational changes. According to Stevens (2004), performing the needs assessment in the above case will provide insights into the areas that the stakeholders should focus on to strengthen the realization of the desired objectives. It is through needs assessment that the management team will identify weaknesses that are likely to affect the success of the adopted strategies. Similarly, an analysis performed by Ward (2002) showed that needs assessment allows for the identification of the quality needs of the healthcare providers. Among the quality needs include training, incentives, and effective leadership that will ensure the success of the change adoption process. Moreover, significant analysis reveals that needs assessment will ensure the identification of strategies that can be adopted by the healthcare organization to ensure program sustainability and the empowerment of the involved stakeholders. As such, it is apparent that conducting needs assessment will allow for the prioritization of the decisions that should be adopted related to the program, thereby, its success.
Factors that must be considered in the needs assessment
The success of the adoption of the change agent will be influenced by considering different organizational factors. For instance, the success will depend on the consideration of the available resources that will be used to facilitate the change process. Resources such as the funds for acquiring the equipment, training the employees, and creating awareness should be adequate for the success of the process. Similarly, the organizational stakeholders should take into consideration the personal and professional needs of the employees in relation to the needs of the change agent. Such entails considering their level of knowledge, perception, and attitude towards the new change agent that will influence the adoption process, thereby, its overall success. When health care organizations consider adopting a change agent within their systems, they should consider the influence of the change agent on the quality of health care provided to the healthcare consumers. As such, they should determine whether the new change strategy would improve the quality of healthcare in terms of costs, time, affordability, and reliability (Stevens, 2004).
Data needed
Various data will be needed before the implementation of the program takes place. Such data include education level of the health care providers, evidence that the adopted organizational change agent will provide positive results, and learning needs of the organizational stakeholders. In addition, the organization should consider collecting data related to gaps and inefficiencies of the present method of information collection and keeping alongside possible alternatives for ensuring the effective adoption of the program. The information will be accessed from all the departments of the organization since it will be fed into the central system of each of the organizational department. Considering these data will provide the stakeholders with insights into the fundamental alternatives for the success of the program (Stevens, 2004).
