Email to a Training Vendor When writing an email to a potential supplier on the first occasion, a little consideration and preparation is beneficial, giving a more professional appearance and provide sufficient information to facilitate meaningful communication. The following is an example of a first contact email for a scenario in which a company is seeking a supplier to develop and deliver a new leadership training program. Where possible the email should be addressed to an individual, with the name used in the initial greeting, and should provide sufficient detail to ensure that the potential supplier is suitable. Concurrently, the email should also allow for flexibility during the negotiation phase, too much detail and too many demands may be off putting to a potential supplier, and may reduce the ability to enhance the contract that is to be negotiated with the suppliers knowledge and input. In any outsourcing scenario, the company contracting the supplier is likely to have a greater level of knowledge or expertise they can supply, so the contact and setting the scene for subsequent negotiations should also for this flexibility. Several assumptions are made in the email which may be adapted as necessary.

While we have excellent in-house HR and general training and development facilities, we are looking to outsource the development and delivery of the proposed leadership development training program to ensure highest quality inputs for an optimal outcome.
At the current time we are contacting potential training program providers with a view to contracting out the services. We are looking for a firm that specialising in the development and the profusion of training programs. Any training supplier considered will need to have the ability and relevant resources to develop and then run bespoke programs, as our needs are unique and we are looking to develop a new program which will be exclusive to Company X. As Company X is looking at this program in as a long-term element of our training and development program, it is our aim to develop a close relationship with the supplier delivering the program, and would hope to establish a good long-term relationship.

Obviously, there would need to be extensive discussions regarding our needs and the services your company are able to offer, regarding both the design of the development program and the way on which training could be provided. If you feel your company…
