Project Management of Provision Healthcare Technologies
As the chief Project Manager for POVISION healthcare technologies, it is my job to formally regulate the planning activities according to the new regulations set by the federal government. My purpose is not only to abide by the federal terms but also to look at the best interest of the company in the most efficient manner possible. The change in the planning will be informed to the senior management and a close contact will be made throughout the phase, their feedback and reply is very essential and their guidance will help in deciding either to make further amendments or to adapt according to their choices.
The purpose of the upcoming meeting is to inform personnel of different departments about the changes made in the overall work plan of the organization and how the change will affect each and every employee. Since it relates itself to the recent modification of the wand software, it is very important for all departments and their respective representatives to attend the meeting, other important personnel are also very keenly awaited at the meeting. Starting from the senior management, their presence is a must because this meeting may decide the future direction of the firm; the finance department is also required to share their opinions there as their feedback about the current financial situation of the firm is mostly anticipated.
The employees of the software department are required to be there so that they may get all the available instructions from the management and finances and then provide their requirements. They are responsible for the production, management, maintenance and upgrading of the wand software so they must also brief on their current position, how well are they coping with the new government regulations, how much work is done and what is left, all should be part of their agenda.
The hardware maintenance department is also invited as to share their views and inform of any new requirements due to the recent change. The objective of the meeting is for everyone to get into a consensus on the approach taken that is the most beneficial for everyone, there might not be a common ground for everyone to agree on everything but this meeting is just the starting point of a new agenda that will carry on and reshape the entire firm form here on, so every associated party will be requested to be flexible on their demands and look for the best interest of the company rather than themselves.
The agenda of meeting is how to respond and adapt to recent government regulations. The main objective of the project is to get knowledge of the needs of all departments and make the required amendments in the firm's planning activities. The main scope of the project planning is to keep the necessary amendments according to the company's budget and stay within a time frame for all activities because the company can not afford any sort of further delay of the product launch as it might benefit the competitor or cause huge loss for the company in terms of market value and reputation. The scope is also made flexible to adapt to any incoming changes that may impact the company in near future.
A single line for management of communication must be established,
Dual management lines make communications more difficult to manage. When team members receive conflicting instructions from project and functional managers, time and effort are wasted clarifying the communication. The team might be unable to react fast enough to meet changing project requirements. (Richman, 2002)
The main communication plan involves the audiences that should be reached and the format used such as for the management, it is advised to chair a meeting twice every week to address about the current situations and also to get feedback and act accordingly. For the finance department, daily feedback (either directly through a representative or indirectly through email) required on the current status of the company's finances and how they are coping with the changes. For the software department, regular meetings to get informed on their progress and also to inform them on the new requirements (if any) which needs to be addressed.
The comments from the manager is of his own personal view of the assessment on how the company's project manager should act according to the recent changes, I would not agree with the statements made by the manager because it does not allow any sort of adaptation or flexibility (which is much needed in this case). The company is bound to the decisions in the form of policies on healthcare made by the federal government, and it should always abide by the latest rules and regulations. It should always be open for changes in planning and an efficient project manager's role is to adapt to the most appropriate form of plan in order to gain maximum profit.
