Choosing the Right Software

By remembering that technology is a tool, and not an end in itself helps define the practicality of its usage and ultimately its effectiveness and efficiency. Within the profession of project management, software systems have allowed those willing to learn and master their applications a new way of conducting business and becoming more efficient and therefore more profitable.

One advantage of project management software applications is the ability that this technology allows people to collaborate with one another. The non-locality of software allows for this to happen rather simply, but without this ability to rapidly share and communicate information, the projects slow down and information is often distorted by this time lag. Another benefit that project management software provides for its users is the ability to delegate tasks and spread out the work in an optimal manner.

These programs can be compartmentalized and assigned to different members of the team project. This division of labor is useful for the manager as a complicated task can be significantly improved in relatively short times. The scheduling aspects that are included in project management software provide a time management tool that is extremely beneficial to those on tight and stressful schedules. Time management is one of the greatest challenges and any help in lessening the detrimental effects of poor time management is helpful.

Unfortunately project management software cannot improve the quality of the people involved within the project. A software program is only as good as the people operating it. Too often software is thought to be an adequate replacement for human talent. Resisting this conflation is helpful in finding the right people and the right software for the project. In the search of finding a new project management software system and a team to run this project, it is important to keep in mind several factors when building that team and finding the right software. First, it is of the utmost importance that whatever project is undertaken is constantly aligned with the greater organizational strategy. For this reason, if possible the CEO of SSC must be involved in this project one way or another. His input is critical in maintain this organizational strategy.

Representatives from the Human Resources Department, Operations and Sales all need to be included on this project with one representative from each of those units. Since this is primarily an IT function, all members of the IT team will be involved in this project one way or another. Each person in the IT team is expected to gain a mastery over the chosen software and is expected to help others learn and fix their problems when they arise.

Two software packages will be examined and tested for their practical application at SSC. First Axosoft's software will be tested and evaluated for its applicability to the organization's mission. This software is simple and robust.
