Enterprise-Level Business System
For this startup company to make maximum use of informational technology, it must create a website that is not used merely for informational purposes, but is designed to handle customer inquiries as well as vendor proposals. Currently this spin-off startup company is not using its informational technology to full capacity. Although each operating group has its own database, enterprise infrastructure has not kept pace with internal needs nor with the overall supply chain expansion.
Additional personnel cannot be added meet the growing demand for the specialty, although the company's board of directors realizes it must better use information technology to handle the company's further expansion and to reduce growing human resource needs. Executive management has developed the following business goals to provide direction for the company and to be the focus for all IT initiatives, including creating at least one new international target market must be established per year, two new product offerings to be developed and approved by the appropriate government agencies every year, and the reduction of operating costs at a rate of 10% annually.
II. Statement of Scope
A. State what functions (not solutions) will be included in this project.
Creation of a more functional website to address customer and vendor inquiries.
Creation of a more functional internal system of informational communication between separate databases. System should be able to handle payroll needs and R& D. simulation needs on same network.
B. Identify specific project goals that relate to actual enterprise-level business problems or opportunities.
Redirect more customer inquiries through company website, reducing need for personnel to answer questions via 800 number.
Increase internal communication via Internet and integrated software to facilitate new development and marketing of products, making company more holistic in nature and better able to use staff members for multiple functions.
III. Supporting Measures for Success
A. Specify tangible measures for determining the relative degree of success of the completed project.
Increased use of website by vendors and customers.
Increased use of newly created system of internal Internet communications system and better understanding of new software program's multiple capabilities by all employees.
B. Supporting measures should correlate with the stated scope and goals for this project.
Demonstrable level of increased 'hits' and queries directed to company website, especially from international sources. Decrease of use of telephone queries by domestic customers and vendors.
Internal review of audit of informational efficiency -- anonymous reviews and quality controls to see if different departments believe communication and use of software is occurring in an efficacious fashion.
IV. Summary of project Feasibility
A. Economic feasibility: Prepare a high-level estimate for economic feasibility in terms of quantified benefits greater than costs after the planned implementation of this project.
Increase in international clientele, whom cannot currently use 800 number toll-free will offset costs of website modification and introduction of interactive component.
Decrease in staff needed to handle phone inquiries offset costs.
Advertising and marketing staff will be in better communication with R& D. staff and be more responsive in creating interest about new products.
B. Operational feasibility
Current possible problem on executive level with word processing. The spreadsheets used to track executive management activities and expenses that are applicable to specific products only disseminated through paper copies. Electronic files are not shared, as there is concern that the data will be modified by other functional groups. However, to maximize operational feasibility, a switch to read only files might be necessary, to reduce paper costs and to create integrated computer network, rather than inefficient separate databases.
C. Technical feasibility
Proposed implementations technically feasible, given similarity to other websites for existing companies of similar scale.
New computer network purchase may be required, but feasible, given other companies of similar scale are similarly integrated.
