SUBJECT: Memo on Professional Writing
One of the most important skills in the working environment/workplace is effective writing given the role of effective communications in organizational productivity. Organizations face the need to promote effective writing as part of enhancing their communication and improving productivity. Given the significance of effective writing, there are many kinds of writing techniques utilized by organizations on a daily basis including professional writing, business writing, and technical writing.
Professional writing and business writing are relatively similar because most of their underlying principles are the same. The first principle in professional and business writing is determining the type of the document to be written. In this case, it’s important to determine whether the document is an email, memo, business letter, a report, transactional document, or financial documents (Tingum, 2016). This is followed by determining the purpose of the document i.e. whether it is to inform, persuade, make an argument, confirm information, invite or to inquire about something. The determination of the purpose of the type and purpose of the document helps in setting the tone of the writing. The tone of writing is very important since it conveys a particular message from the writer and affects how the reader receives the message being communicated (Heaps, n.d.).
The other important component in professional and business writing in the workplace is determining the intended audience of the message. This implies determining the reader and understanding that the document could be read or received by unintended audiences in some cases. From an organizational perspective, it’s important to determine whether the audience is the management, employees, shareholders or clients.
Once the type, purpose, and intended audience are determined, the document should be written in a logical and concise manner. This helps in maintaining flow and conveying the message in a way that can be easily understood by the reader. Some of the important considerations to make when writing include avoiding wordiness and use of unnecessary or complex words (White, 1997). Additionally, it’s important to be clear and avoid being vague so that the reader can fully understand the message being conveyed.
In conclusion, every business uses a variety of documents to figure out and analyze the company’s productivity, communicate, and carry out day-to-day operations. It is very important for any company to have well-written documents ranging from simple memos to legal documents. The need for well-written documents is because one never knows when these documents may be required for future reference and reasons. Therefore, having the essential writing skills needed in a business is imperative.
