3c. All effective problems solving requires a model or a structured means of discovering solutions. Arbitrary methods are ineffective because they allow for too much bias and chaos in the communications process. The nine-step model provides one of the most effective problem solving methods. These nine steps cover all the essentials of effective problem solving including simply describing the situation in clear terms. Framing the problem eliminates extraneous information. Stating our goals helps us focus on what is important for the team and allows us to set aside our individual or selfish needs. Identifying and evaluating alternatives enables all team members to brainstorm, offer input and evaluate the merits of each suggestion. Risk evaluations help us reach the final decision and implement it properly.

While there are no drawbacks to the 9-step model, it can be time-consuming. Decisions that need to be made hastily will require less systematic methods. However, the 9-step model will be preferable in any situation requiring group input, or when the problem has multiple parameters and possible solutions.

Communication ensures that all departments work together as an organic whole. Negotiation skills are also essential in any organization, as the needs of different individuals and their departments sometimes clash. Negotiation ensures that the overall goals of the firm are kept in mind, superseding those of any individual or any department. If either basic communication skills or negotiation skills break down, the entire firm suffers. Productivity declines because time is wasted working out miscommunication problems. Interpersonal conflicts lead to employee absenteeism, turnovers, and lowered productivity too. The corporate culture as a whole suffers when the lines of communication break down.
Culture and gender diversity in the workplace can complicate communications. People from different cultural backgrounds have different communications styles such as different ways of addressing authority, different ways of tolerating or dealing with conflict, and different ways of nonverbal and verbal expression. The entire staff must become sensitive to different communications styles. Similarly, sensitivity to gender diversity is also essential.
