This paper examines the business requirements and technology solutions implemented for Cute Creations, a small company manufacturing decorative products for home and office use. Founded in the early 1990s and originally relying on paper-based files, the company transitioned to a networked computer environment incorporating a web server, database server, and PDAs. The paper analyzes key operational modules — inventory control, accounting, marketing, manufacturing flexibility, and sales management — and evaluates the benefits of integrating e-business technologies, warehouse management systems, and web-based databases to improve efficiency, reduce costs, and position the company for future expansion.
Cute Creations is a company that manufactures decorative products for the home and office. In the early 1990s, the company's owner began the business while maintaining all company records on paper files. When she decided to upgrade the company with computer systems, her main objective was to implement a system whereby all important company information and data could be maintained electronically on databases. This decision was made in light of new advancements in technology, with the understanding that a well-organized electronic database would allow the company to expand without difficulty.
Several database management approaches were recommended, including inventory tracking, marketing research and preparation, sales projection, and various financial reports. After reviewing the changes that needed to be made, the owner agreed to work with business computer solutions consultants to structure her database.
The first task was to upgrade the outdated computers to begin the project. To provide all information online to authorized personnel, one computer was designated as the web server, with the task of redirecting all data queries to the main database server. Another enhancement involved upgrading the main database server — using the existing outdated computer fitted with a new CPU, motherboard, RAM, and hard disk — along with two PDAs with Internet capability. This system would support a back-end data entry interface and a web-front interface, maintaining inventory control and providing usable data tracking methods.
The next task was to categorize the crafts into different sub-categories in order to create a digital archive of all items, using SQL scripts to manage production and sales online rather than manually. For sales promotion, the web page would be linked to the database with information on cost, quantities, colors, and availability. This system would also manage the raw materials needed for making products, along with costs and other relevant information for company staff. To serve customers and other clients, the company website would act as a point of contact, enabling them to place orders and access available stock. The consultancy team met all requirements in their plan and succeeded by adhering to the principle of simplicity throughout.
Upgrading the office environment involved establishing a networked infrastructure capable of supporting the company's new digital operations. The configuration included a dedicated web server to handle online queries and a rebuilt database server to store and manage all company data. Two PDAs with Internet access were also added to support mobile data entry. Together, these components formed a system capable of handling both a back-end data entry interface and a customer-facing web-front interface, providing the foundation for all subsequent operational modules.
The two main modules in the warehouse management system are the control product module and the order module. The order module enables customers to track their orders and is used to assign orders to the production department to fulfill requirements. The warehouse management system effectively controls the processes of ordering, transferring, delivering, and shipping business products.
