When conducted effectively, project meetings provide an opportunity to disseminate information and to track the progress of the team. The work of the project, the evaluation and numerous other tasks will be conducted by team members outside of the meetings. The dissemination of results and the agreement on forward actions will take place in the team meetings.
Although its sounds easy enough most companies struggle to adequately inform all concerned parties, unless that person is directly involved on a specific project. The project manager must ensure that all meetings are effectively planned, run and recorded. Team meetings are one of the most efficient ways of circulating information through a company. The keys to running these meetings successfully are preparation and follow-up. One of the problems with actively implementing these meetings is lack of participation.
Employees are more then likely involved in their daily obligations, delegated duties, and time constraints often due to family commitments. The company, must maintain the daily flow of business and continue to provide service to all its clients during normal operating hours, therefore, team meetings might take place outside normal working hours, although you should still be on the clock. This is a complete and immediate turn off to most employees therefore making team enthusiasm very minimal, which then makes the meeting less productive.
The first thing a company must do to more effectively carry out a positive team meeting is to have the meeting during normal working hours. This then eliminates any other obligations; the employee is now carrying there delegated duty by participating in the meeting thus, making the productivity more positive. Setting a specified time during the workday to actively carry out a positive meeting will definitely enhance communication throughout the department. Another issue that has plagued the productivity of team a meeting is lack of preparation.
This is a problem in most cases when all attendees are present, but the team leader has not sufficiently prepared an agenda to carry out a progressive meeting. Without properly preparing an agenda, without equipping the attendees with materials needed to further prepare themselves, the meeting runs the risk of compromising momentum, detouring subject matter, and not achieving the meetings objectives. Simply put, good meetings are based on good agendas. A good agenda includes a time, beginning and ending, and informing all attendees how long the meeting will last.
This will also keep the subject moving forward on any given subject. Be specific about the objective or purpose of the meeting as well as the intended outcome, this enables everyone on the team to focus on the same goal. These few preparations will increase the productivity of your team meeting and allow your company to be more efficient. Imagine being in a meeting and nothing that is discussed pertains to you or your department directly.
Too often these team meetings are so vague it's impossible to keep interest in something your unfamiliar with. This means the logistical subject matter should be passed out ahead of time to all attendees, giving them the opportunity to familiarize themselves ahead of time. If a team leader or manager does not take time out to praise the positive efforts, other members of the team feel unappreciated. A good leader will recognize the team's efforts.
