Final Project Overview
Overall, the project has been a success. Despite a few mishaps and lessons learned, the venue was a hit and the budget was satisfactory enough to pull off a great marketing campaign for the event and the brand. With the whole team working together, it was a successful event.
Still, there were some clear issues that could have been worked out better before the event took place. For one, the choices of the venue was sufficient, but could have been more cost effective and have provided a more pleasurable ambiance for the event. The venue that was chosen for the event was at the South Australian Maritime Museum. This venue offered a great location, close to modern development and amenities. Yet, in hindsight, the Greenway Art Gallery might have been a better choice. The South Australian Maritime Museum was the costlier of the two choices. Yet, it lacked some of the features that would have actually saved on other costs that would have led the final project to end up with a surplus. At $4,500, the venue did not offer catering or physical resources needed, like tables, chairs, and booths. As such, the project team had to look outside to other vendors, costing an additional $3,000 on catering and $1,800 on acquiring materials and equipment needed to make the venue presentable enough for the event. The Greenway Art Gallery already had world-class catering services, obviously in addition to their price; however, this bundled cost would have still been lower compared to what was spent at the South Australian Maritime Museum. In addition, Greenway Art Gallery already has business class accommodation, meaning they have much of the materials and equipment that the project had to go out and acquire separately, incurring additional costs. This can be a lesson learned for future projects, because bundling costs of catering and equipment can lead to excess savings and ultimately a surplus at the end of the project timeline. The fact that the entire budget of $12,500 was spent was better than going over budget, but could have been cut down a bit by choosing the other location.
Moreover, there were some issues in resource management that can be addressed more appropriately in future projects. MacVille Adelaide was successful in finding a number of coffee retailers local to the area, but the goal of 500 was not reached entirely. At the end, there were a total of about 480 retailers present at the event, which was very close to the goal but not quite there. Ultimately, this was not because of the failure of the project team at MacVille Adelaide. It can be assumed that for the region the event took place in, the number of 500 retailers may have been too high of a goal. Still, the amount of retailers that did participate was sufficient enough to hold a very successful event.
