Before embarking upon the meeting, questions such as the roles and responsibilities of the different parties; the expectations of both sides; and above all the work habits and cultural differences of the involved individuals involved in the project must be answered. An overview of the project deliverables, deadlines, and specific competencies of the team is required to gain an understanding of what precisely will be demanded over the course of the venture.

Ideally, all team members should have an idea of the specifics of their contribution to the project and also an overall vision of what the collective effort will produce. Since a joint effort will be required between both British and American components of the project, the methods of communication between the different national branches must be established: email, virtual conferences, and phone meetings must be regularly exchanged. Frequency and methods of contact between members of the team and other teams involved in the project should be formalized.

A better understanding of the organizational culture and level of engagement and preparation of all team members will provide greater clarity about all of these issues. What would you do in order to prepare yourself for the face-to-face meeting? An intercultural briefing in the different styles of communications between the United States and the United Kingdom would be advised. Before the face-to-face meeting, it is critical that there is an assessment of the workplace culture.

Although British and American cultures are very similar, it is important to remember that there are still critical differences between the two. For example, interpersonal styles regarding humor may be very different -- sarcasm is often far more accepted in a British context than an American context and Americans may demand more of what may be viewed as 'superficial' friendliness in the eyes of Brits.

Also, fewer Americans have been abroad than those living in the UK, so there may be less sensitivity to intercultural differences in general in the U.S. There may also be a different 'work ethic' between the American and British workforces: Americans are accustomed to working longer hours; have lower expectations for generous vacation policies; and adhere to a more regimented work schedule than Brits may be accustomed to (Cultural differences between the U.S. And the UK, 2013, British Expats).

Which individuals from within the team would you invite to the meeting and why? Would you focus on meeting your team only or would you meet other individuals and organisational units to know them better before the project begins? Engineers and all individuals with a leadership title should be present, given that they will be responsible for guiding the team and ensuring the timetable of the specifics of the project is respected.
