Organizational Policy on the Acceptable Use of Email and Text Messaging

In the past few years, this company has experienced tremendous growth and productivity because of your significant contributions towards the realization of the firm's objectives. The management team wishes to express our appreciation of your input towards the achievement of organizational objectives and increased productivity. Secondly, the message comes as a friendly reminder of the major components of the firm's policy regarding the acceptable use of email and text messaging in relation to the accomplishment of organizational goals. However, the policy does not seek to restrict or gag employees' email and texting but to promote proper use of these messaging systems through effective guidelines. The management team encourages all employees to be aware of acceptable and unacceptable practices regarding email and text messaging because the policy applies to all staff. The purpose of the guidelines provided in the policy is to enable the maintenance of a positive image and credibility of the company.

Generally, email, voice mail, and Internet use are allocated to an employee's telephone extensions or computer for the sole purpose of carrying out organizational objectives or company business (Heathfield, n.d.). This is primarily because certain job responsibilities necessitate the use of email and text messaging. Therefore, email and texting during working hours is authorized to help carry out organizational business only. As a result, some of the major guidelines on email and testing include & #8230;

Email and texting are solely for company business use though employees will be allowed to use them occasionally and reasonably for personal goals based on the terms of the company's policy.

The management team shall monitor the use of email and texting to determine their use for accomplishing organizational objectives and examine the content of the messages.

Employees are required to adopt courteous and professional language in their email and text communications, since email and text messaging are regarded as corporate communication tools. This implies that employees should avoid the use of abusive, unpleasant, or profane language when sending text messages or emails.

Staffs should take appropriate measures to protect their computers and telephone extensions from unauthorized access.

Any kind of harassment during email and text messaging is prohibited.

In essence the company's policy on email and text messaging is centered on three major components that are the basis for the previously mentioned guidelines. These three key components include & #8230;

Security: While employees are provided with Internet access and telephone extensions to help them conduct certain job responsibilities to enhance the realization of company goals, security issues remain one of the major concerns. In most cases, the security issues basically revolve around unauthorized access to the systems, which may have significant impact on the company's image and credibility, especially if used inappropriately. Therefore, the management team requires every employee to take effective protective measures to prevent unauthorized access. One of the major ways recommended by the firm's policy is for every employee to lock their workstations any time they leave.
