This paper evaluates collaboration software platforms for use by geographically distributed virtual teams across five key dimensions: time, place, richness of experience, task, and adoption. Given the rapid rise of virtual teams and the corresponding limitations of many personal productivity applications for intensive collaboration, an entirely new category of enterprise software has emerged. Collaborative software — including Customer Relationship Management (CRM) systems with social networking functionality (Social CRM), enterprise content management, knowledge management, groupware, portals, and web services — has proven effective in addressing the continual challenge of communication and collaboration in virtual teams (Banker & Bardhan, 2006).

The goal of this analysis is to evaluate collaboration tools across five dimensions: time, place, richness, task, and adoption. Throughout this analysis, it is assumed that the collaboration software is used by virtual teams located at geographically diverse points across the globe, spanning multiple time zones and cultures. It is further assumed that the level of effective collaboration is dependent on the attainment of clarity, consistency, and trust over time (Siakas & Siakas, 2008).

Time-Based Scenarios

The five dimensions on which collaboration software is evaluated all revolve around the critical need for virtual teams to create highly effective workflow processes and strategies — accounting for individual strengths while pursuing often difficult shared objectives. Only recently has collaboration software provided the agility and flexibility to align with differences in time, place, richness, task, and adoption scenarios (Barthelmess, 2003).

Accuracy, completeness, and speed of communication are the most critical success factors in time-based scenarios. Given significant variations in time zones and the urgency of completing projects under tight deadlines, the time dimension is often the most critical driver of collaboration platform adoption. The best technologies for enhancing time-based scenarios include real-time messaging and enterprise social networking platforms such as Salesforce.com Chatter, which resembles Facebook in terms of its interface (Riehle, Ellenberger, Menahem, et al., 2009). Real-time social networking platforms are the most effective at minimizing time delays.

The worst technologies for time-based scenarios are blogs or other forms of static posting that require several steps to publish and read a message (Barthelmess, 2003). Social networking platforms today also offer numerous supporting Application Programming Interfaces (APIs) that enable greater support for all forms of mobile devices, further underscoring the value of interactive, real-time applications (Riehle, Ellenberger, Menahem, et al., 2009).

Place Scenarios

Location-based services and the growing use of geo-caching technologies have become commonplace in social networking applications, beginning with Google mapping APIs and extending to Yahoo e-commerce services (Banker & Bardhan, 2006). These developments have directly influenced collaboration technologies and how companies architect workflows across broad geographic distances.

Place scenarios determine which equipment, supporting technology, bandwidth, and level of security apply to a collaborative work session. Technologies best suited to this scenario include secured Virtual Private Networks (VPNs) running collaborative portals (Barthelmess, 2003) and mobile devices with secured sign-in capability. The least attractive technologies for place-based scenarios are those that require significant platform investment to operate — for example, highly secured IPSec-based transmission networks that require multi-layer sign-ins, authentication support, and secured links to internal networks (Banker & Bardhan, 2006).

Technologies best suited to place-based scenarios are more centered on open collaboration through a shared security model with individual role-based authentication (Riehle, Ellenberger, Menahem, et al., 2009). Place-based considerations in collaboration are often perceived as primarily mobile-based, when in fact many are defined by the level of security and integration with legacy systems required to ensure effective communication and knowledge transfer.
