Strategy to Improve Lack of Motivation and Organization

When working on a virtual team project, it can be challenging to stay motivated and organized. This is partly due to the fact that virtual teams do not share physical space and therefore members of the team are isolated. A lack of social interaction, feelings of isolation, or a lack of clarity regarding team goals can all be reasons virtual team members might lack motivation or appear unorganized. Additionally, team members may not have a clear sense of their individual roles and responsibilities. As a result, they may feel that their work is not valuable to the team. Virtual teams can also sometimes struggle with communication difficulties, which can lead to misunderstandings and conflict and reduce morale overall (Larson & Gray, 2017). While virtual teams have many advantages, it is important to be aware of these potential motivation and organization issues. By taking steps to foster communication and collaboration, virtual team leaders can help to ensure that all members feel engaged, ordered, and motivated. This paper provides seven strategies that can help:

1. Set clear goals and deadlines. Make sure everyone on the team knows what needs to be done and by when. Having a clear plan will help keep everyone focused and on track. Clarity of purpose also ensures that everyone on the team knows what their individual responsibilities are and how they fit into the overall project. This helps to keep everyone focused and on track, and can prevent misunderstandings that can lead to project delays or even failure. Of course, plans can change as a project progresses, but having a clear plan at the outset will help to ensure that everyone on the team is working towards the same goal (Larson & Gray, 2017).

2. Create a task list. Assign specific tasks to specific team members and track progress using a task list. This will help ensure that everyone is aware of their responsibilities and that the work is getting done. It is a common way to keep any team organized, but it can be especially useful for a virtual team as it provides visual confirmation of roles and responsibilities.

3. Hold regular meetings. As Larson and Gray (2017) point out, it is vital in managing virtual team projects that “effective patterns of communication” be established (p. 402). Keeping everyone in communication will help maintain momentum and avoid misunderstandings. Virtual meetings can be just as effective as in-person meetings, so make use of video conferencing or other meeting software. Zoom meetings are very common in the post-COVID workplace environment so there is really no excuse not to hold meetings. Virtual teams do not get a chance to see one another any other way—so one should take advantage of video conferencing software to let team members become visible to one another. By being able to see and hear one another, team members can build rapport and trust. In addition, virtual meetings provide an opportunity for team members to give updates on their work and receive feedback from others. As a result, virtual meetings can help to ensure that work is getting done and that team members are staying focused and on track.

4. Encourage collaboration. Brainstorming ideas and sharing resources can help the team generate new ideas and solve problems more effectively. Encourage team members to work together and share their ideas openly. Doing so allows team members to get a better sense of what everyone is working on. In addition, it helps to identify any potential areas of conflict or duplication of effort. Furthermore, sharing ideas openly can also help to build trust and rapport among team members. When team members feel like they can trust and rely on one another, they are more likely to be motivated to work together towards common goals. As such, encouraging team members to share their ideas openly is an effective way to keep virtual teams organized and motivated.

5. Reward progress. All teams like to be rewarded for a job well done, and virtual teams are no different. Celebrating milestones and accomplishments is a great way to keep everyone motivated. By acknowledging and celebrating the accomplishments of team members, you can help to keep them engaged and motivated. This can be done in a variety of ways, such as sending out e-cards or holding virtual happy hours. Whatever form it takes, celebrating accomplishments is a great way to keep virtual teams on track. A little recognition can go a long way in keeping people engaged with the project.

6. Be flexible. Be prepared to adjust the plan as needed based on feedback from the team or changes in circumstances. Flexibility will help keep the project on track even when things don't go according to plan. However, it is also crucial that one is not too flexible in that one allows virtual team members to vanish (Larson & Gray, 2017).
