Evaluating and Acquiring Technology

Introduction

Culture refers to the shared values, beliefs, behaviors, customs, and attitudes that characterize an organization. Deep-rooted organizational behavior issues can include things like low morale (resulting from poor employee engagement and a lack of meaning in one’s work), poor communication (stemming from conflicts between employees or departments), and lack of proper training and support with new technologies to help employees understand their work in a competitive industry. Culture affects all of these areas, but it can be helped by technological solutions. The assessment will describe a plan to right the ship based on challenges that are present in the organization, three technology changes that will need to be acquired and how they will help, the evaluation plan, and what project management concepts from PMBOK can be used.

Culture and Challenges

The culture may be characterized by a lack of transparency and trust, as employees feel disconnected from the company's mission and goals, which causes them to be disengaged and disinterested in their work. Communication is fragmented, with information not flowing freely between departments and employees, leading to misunderstandings and inefficiencies. The organization is also resistant to change and slow to adopt new technologies, making it difficult to keep up with industry developments.

To address these challenges, the organization's culture may need to shift to one that values transparency, trust, collaboration, and innovation. This could involve fostering open communication channels, encouraging employees to share their ideas and suggestions, and actively seeking out new technologies that can help the company succeed. Additionally, providing opportunities for professional development and growth can help increase employee engagement and motivation.

Overall, the culture of the organization is one in which employees have basically been left to themselves, without guidance or support. They do not find their work to be very meaningful, few are engaged, and morale is low. Communication is suffering due to conflicts among workers and departments. And the workers lack helpful technological systems, support and guidance. Thus, the three challenges facing the organization are:

1. Employee engagement and retention: this is a problem because organizations often struggle to retain employees, which can negatively impact productivity and morale.

2. Communication: this is a problem because effective communication is essential to the success of any organization, but it can be difficult to get everyone on the same page, especially in larger organizations.

3. Technological advancements: this is a problem what with the rapid pace of technological change, because of which organizations need to keep up in order to remain competitive.

Addressing the Challenges

To address these challenges, the organization will want to acquire new technologies, such as artificial intelligence (AI), collaboration tools, cloud computing. AI can help the organization automate repetitive and unengaging tasks, freeing up employees to focus on more strategic work. This would help them to feel that their work is more meaningful and creative, which should boost morale and positivity.

First off, AI has been proven to be a valuable tool in reducing mundane tasks (Wirtz, 2019). The efficiency, consistency, scalability, adaptability, and cost-effectiveness of AI systems make them ideal for automating routine and repetitive tasks. AI algorithms can work faster and more accurately than humans, ensuring consistent performance for tasks that would otherwise become tedious for people to do. They can also be easily scaled to handle increasing amounts of data and workload, as well as being programmed to learn from experience and adapt to new situations. Automating mundane tasks with AI leads to significant cost savings in terms of time, labor, and resources, freeing up employees for more creative and value-adding activities (Wirtz, 2019). Overall, AI's features make it a great tool for reducing the burden of repetitive manual tasks and streamlining business processes.

Secondly, collaboration tools can help employees work together more effectively, improving communication and teamwork (Ishak et al., 2021). This should help break down silos and build rapport among workers and across departments. That is because these tools provide a platform for employees to share information, communicate and collaborate on projects, and stay informed about what's happening within the company. Examples of collaboration tools include instant messaging platforms, video conferencing tools, project management software, cloud-based document collaboration platforms, and social intranets. By using these tools, organizations can improve communication, increase transparency, and foster a sense of teamwork and collaboration across the company. This can lead to a more productive and efficient workplace and help break down silos between departments and teams, ultimately leading to better outcomes for the organization as a whole (Ishak et al., 2021).

As for cloud computing, it would support the movement and sharing of data and applications, which can help organizations scale more easily and be more flexible (Markovic et al., 2013). It would support the implementation of new technologies and provide a way for guidance and training to be more readily available. This is because the scalability of cloud computing resources makes it easy for organizations to adapt to changing requirements and support their growth, while cloud-based collaboration tools improve communication and teamwork among workers. The cloud also provides access to the latest technologies and services, supporting workers in using new technologies as they become available.

Evaluation and Acquisition

To evaluate and acquire these technologies, the organization should follow a technology procurement process that includes defining the requirement, soliciting bids, evaluating proposals, and negotiating and contracting. Defining the requirement involves identifying the specific business problem that the technology will solve. Soliciting bids involves gathering proposals from vendors that can provide the desired technology. Evaluating proposals involves reviewing the proposals to determine which vendor will provide the best solution. Negotiating and contracting involves finalizing the agreement with the selected vendor.

Project Management Concepts

Project management concepts from PMBOK, such as defining clear project goals, establishing a project team, and planning and executing the project, will be crucial to the success of implementing these technologies. A well-planned project management approach can help organizations ensure that the new technologies are deployed smoothly and effectively, and that the key challenges are addressed. This approach provides a structured and systematic method for planning, executing, and closing technology projects. It starts with a clear understanding of the project scope, including goals, resources, and timeline, and includes comprehensive planning and risk management to ensure the project is delivered on time and within budget. Effective communication is also a key component of this approach, keeping all stakeholders informed and addressing any issues promptly. Regular monitoring and control, as well as a plan for closing the project that includes lessons learned, are also critical elements of a well-planned project management approach. By following these steps, organizations can minimize the risks associated with new technology deployments and ensure that projects are executed effectively, leading to successful outcomes and improved performance.
